Dictation Options |
|
Providers have the options
of dictating reports via
hand held records, land
lines using a toll-free
number, cell phones or PDA’s.
|
Our system can support most
hand held recorders. If
you do not currently have
recorders and want this
option, we currently carry
the Olympus DS2400’s. You
can purchase these from
us at a discount.
|
You can send voice files
to us as often as you like.
You download the voice files
by connecting to your computer
and the reports automatically
transmit. Most offices send
the files two or three times
a day, but you can send
files after every patient
if that works the best for
your needs.

Typically, each office will
send us a copy of their
daily schedule. From this
information, we can obtain
the correct spelling of
the patients’ names, DOB
or any other information
that you maintain on your
schedules. The providers
normally dictated the patients’
name, date of birth, date
of service and chart numbers.

Report Tracking |
|
Each office will assign
an Administrator who can
check on our system to see
what files have been uploaded.
Also, on a daily basis you
will receive a report indicating
what files we have received.
|
Our normal turn-around time
is 24 hrs. In most cases,
the reports that you send
to us tonight, you will
have back on your system
in the morning.
|
Once a file is sent, you
can contact us (via phone
or live chat) and advise
the patients name and what
provider dictated the report.
We will locate the report
and have the report back
to you in 4 hours. If your
need is more urgent, we
can have the report to in
within 2 hours.

Once an office assigns a
systems administrator, that
person will have access
to information regarding
all your reports – uploaded,
in process, returned ready
for the provider to sign
and lock. Our easy to use
interface gives you the
ability to search and view
all your reports.
|
After we have transcribed,
QA’d and audited your reports
they are returned to you.
At this point, the provider
can review each report,
make changes and then e-sign
the report. Once the provider
has accepted and approved
the report, the report is
“locked”. Meaning, no additional
changes can be made to the
report.

We can provide faxing of
your signed reports to any
provider. You provide the
list of providers and their
fax numbers and we can create
a data base of this information.

Account Set-Up and Maintenance |

Our Client Services Manager
will train your staff on
all aspects of our services.
Training will be provided
on every aspect of our service,
how to utilize our platform
and how to access support.
There is never any charge
for training and we will
train as many of your staff
as necessary.

All set ups are done via
the internet. You will be
given a link where are technical
support staff will access
your computers and install
our software. This process
takes as little as 15 minutes.

Billing |
|
Our charges are based on
a 65 character line.

Invoices are emailed or
faxed on the 1st and the
15th of every month.

Each invoice will break
out your individual providers
and identify the number
of lines transcribed during
the billing cycle.
